About Fenrir Fields

A private hire dog exercise field at Willow Tree Farm — named in the spirit of Fenrir, the great wolf of Norse lore.

Fenrir Fields sits on farmland in Messingham, North Lincolnshire. The field is locked between bookings and accessed with a time-limited gate code — so only the people who booked are on site.

Operated by Dean Stead and Alanna Blaney (Fenrirkin), who live and work with working-line Greenland Dogs and Alaskan Malamutes. The field is shaped for real dogs: space to run, secure fencing, and calm privacy.

Training nights & private trainers welcome. Evening hire for trainers and clubs sits alongside private day hire. There’s a full-width trainer and group car park (about 14 spaces, layout indicative). The dog area has a double-gated entrance with one group in and one group out, and a time-limited gate code that opens the dog gate only — no traffic-light or booking-light system on the car park.

This page is a clickable DEMO of the booking and access concept — no real payments or live gate hardware.

Fenrir Fields, Willow Tree Farm, Kirton Road, Messingham, North Lincolnshire, DN17 3RE · Run by Dean Stead and Alanna Blaney · Version 5 (draft), 25 September 2026 · Goes live on [date these terms go live]

Thank you for booking Fenrir Fields. These terms explain how bookings, access and payment work, and what we ask of you while you're on site. When you make a booking, you're agreeing to these terms.

In these terms, "we", "us" and "our" means Fenrir Fields (Dean Stead and Alanna Blaney). "You" means the person who makes the booking. You're also responsible for everyone in your group and every dog you bring.

        About Fenrir Fields

        • Fenrir Fields is a private, secure dog exercise field, fenced with 2 m V-mesh.
        • It's for dog exercise and day hire only, booked in slots. When you book, the field is yours alone for that slot.
        • We do not offer overnight boarding. No dogs, people, vehicles or tents may stay on site overnight, and every dog leaves with you at the end of your slot.
        • Approved trainers and clubs can hire the field for trainer sessions, including evenings (see Your Responsibilities).
        • This is a rural farm site. The ground is natural grass and can be uneven, muddy or slippery, so please wear sensible footwear. There are no floodlights, so if you book an evening slot in the darker months, bring a torch or head torch.
        • Your booking gives you permission to use the field for your slot. It doesn't give you any other rights over the land, and we stay in charge of the site at all times.

        Bookings & Access

        Booking

        • You need a confirmed booking before you come. Walk-ups aren't possible.
        • Key rule: 2 hr max Bookings are made in half-hour slots. You can book up to 2 hours in one go (four half-hour slots back to back). The maximum single booking is 2 hours.
        • Prices are the ones shown when you book. Any member pricing is applied at checkout.
        • You must be 18 or over to make a booking.
        • Please give a working email address. We send your booking details and gate code by email. A mobile number is optional: if you give one, we also text your confirmation and gate code, free, and can reach you on the day.
        • You can book up to 28 days ahead as a guest, 28 days as a trainer, 35 days as a Sköll or Fenrir member and 35 days as Friends & Family. New dates are released daily. These limits may change, and the one shown when you book applies.
        • You can book as a guest, or create a free account so your details, dogs and usual booking are saved. Your account is protected by your password; please keep it private.
        • When you book, please tell us how many dogs you're bringing. You can bring up to 6 dogs per booking (see Maximum Dogs per Slot).
        • You're welcome to share your slot with family or friends. The total number of dogs across your whole group must stay within the limit for your booking, and please bring no more than [number] cars per booking.

        Your confirmation and access code

        • After you book, you'll get an automatic email with your booking details and a link to manage your booking. If you gave a mobile number, we'll also send a text. Emails and texts are free: we never charge for them. Coming soon: get your code in the Fenrir Fields app.
        • Your gate code is emailed (and texted, if you gave a mobile number) 7 days before your visit, or straight away if you book later than that, and again about 1 hour before. You can also resend it from My bookings or your Manage booking link.
        • Please check the date and time in your confirmation as soon as it arrives, and let us know straight away if anything looks wrong.
        • If nothing has arrived within [time, e.g. 1 hour], please check your spam folder and then contact us.
        • Your gate code is time-limited. Your confirmation shows your booked time and the times your gate code works.
        • Every booking gets one gate code, for the keypad at the dog gate. Your confirmation says which keypad to use. Your code opens the dog gate only; it doesn't control the car park.
        • Enter your code on the keypad and the gate unlocks. Push the gate open, and close it behind you.
        • You can always leave the field; your code only controls entry. Press the green exit button by each gate.
        • Key rule: Leave by session end Please leave the field by the end of your booked session.
        • Please don't share your code with anyone outside your booking group, and don't use it outside your booked session. It's there to keep the field private and safe for everyone.

        Arriving, parking and gates

        • Park in the car park, outside the dog area. It's planned as a full-width car park for trainers and groups (about 14 spaces; the layout is still being planned), with 1–2 spaces nearest the gate for members and trainers. Please park considerately and don't block Kirton Road, gateways or neighbours' access.
        • Vehicles stay in the car park. The way into the dog area is on foot, through the double-gated entrance at the dog gate.
        • One group in, one group out. The next group waits in the car park until the previous group has come out through the double gates.
        • There's no booking light or sign at the gate showing whether the field is in use. Please go by your booking times. Don't go into the field before your slot starts. If the people before you haven't quite left, wait in the car park with your dogs on leads or in your car until they've gone.
        • Keep dogs on a lead in the car park and until you're inside the field with the gate shut.
        • Close the gate behind you every time you go in or out. Never prop a gate open.
        • Before you let your dogs off, take a quick look round. Check that the gates are shut and that nothing looks wrong with the fence or ground. If something isn't right, keep your dogs on leads and call or text us.

Arriving late and leaving on time

        • Key rule: Late = time lost Your slot runs from its start time to its end time. If you arrive late, the time you've missed is lost. We can't extend your slot or give a partial refund.
        • Please leave the field by the end of your booked session. Your session includes the time it takes to pack up and get your dogs on leads.
        • Once you're out, please move away from the gate and car park promptly so the next group can get in calmly. This matters most when their dogs are nervous or reactive.
        • If you often overstay, we may refuse future bookings.

        Maximum Dogs per Slot

        • Key rule: Max 6 dogs To protect the ground and keep things calm for every dog, you can bring up to 6 dogs per booking (per half-hour slot). This includes any dogs belonging to family or friends who share your slot.
        • Key rule: Your own dogs only All dogs must be owned by the person making the booking. Professional dog walkers and commercial group bookings are not permitted. Dogs brought to the field must belong to the family present. The only exception is approved trainer sessions booked through the Trainers page: every dog must be accompanied by its owner or handler during the session, and dog walking (dogs without their owners) is still not permitted.
        • We may adjust this limit from time to time, for example to rest the ground after very wet weather. The current limit is always shown when you book, and the limit shown when you book is the one that applies to your booking.
        • If more dogs arrive than the limit allows, we can refuse entry to the extra dogs, or ask for the extra dogs to leave the field. You're welcome to carry on and use the rest of your slot with the dogs that are within the limit. If the limit still isn't kept to, we may refuse entry or end the booking.
        • If we have to refuse entry or ask extra dogs to leave because the limit has been exceeded, no refund is due for the slot, because the limit is clearly shown when you book. This doesn't affect your legal rights.
        • 6 dogs is a firm maximum. We can't take bookings for more than 6 dogs.

        Payments

        • You pay the full price when you book. There's no deposit and nothing more to pay later. Your booking is confirmed once your payment has gone through.
        • You can pay by Apple Pay, Google Pay, PayPal or card. Card, Apple Pay and Google Pay payments are handled by [card payment provider, e.g. Stripe – to confirm]; PayPal payments are handled by PayPal. We never see your full card number.
        • Trainer sessions are also paid in full when you book, at the trainer rates shown on the Trainers page.
        • Refunds (see Cancellations & Changes) go back to the payment method you used, usually within [5–10 working days].

        Cancellations & Changes

        • Key rule: Free cancellation over 24 hr More than 24 hours before your session: cancel for a full refund, or move it to another available time within your booking window for free.
        • Within 24 hours of the start, or if you don't turn up: no refund.
        • If we close the field for bad weather or safety: you choose a free move or a full refund, whatever the notice (see Weather & Ground Conditions).
        • To cancel or move a booking, use the Manage booking link in your confirmation email, or My bookings if you have an account. You can also contact us at hello@fenrirfields.co.uk or [contact phone].
        • When a booking is moved, you get a new gate code for the new time and the old one stops working.

Because your booking is for a set date and time, the usual 14-day cancellation period for online purchases doesn't apply. The terms above apply instead.

        Dog Behaviour & Health

        • You're responsible for your dogs and your group at all times. Please supervise your dogs the whole time you're on site, and never leave them in the field on their own, even for a quick trip back to the car.
        • Keep your dogs under control. They should come back to you when called. If your recall is still a work in progress, use a long line.
        • Number of dogs: please bring no more than 6 dogs per booking, or the limit shown when you book (see Maximum Dogs per Slot).
        • Health: all dogs must be up to date with their vaccinations and worming and be in good health. Please don't bring a dog that has, or has recently been in contact with, kennel cough, sickness, diarrhoea or any other infectious illness. Please bring your vaccination records if we ask to see them.
        • Dogs in season: please don't bring a dog that is in season. [Optional alternative for Dean: "Because bookings are private, dogs in season are welcome. Please tell us when you book."]
        • Aggressive or reactive dogs: because the field is private, it can suit reactive or nervous dogs. Even so, you must be able to keep your dog and other people safe, including in the car park and at the gates when other customers may be arriving or leaving.
        • XL Bully types and other dogs covered by the Dangerous Dogs Act 1991 [Dean to confirm whether these dogs are accepted, and check with your insurer]:
          • You must have a valid Certificate of Exemption and the insurance the law requires, and bring them with you. Your dog must be microchipped and neutered as the law requires.
          • Your dog must wear a lead and muzzle between your car and the field. Only take them off once you're inside with the gate shut, and put them back on before you leave the field.
          • If your group includes dogs from another household, keep your dog on a lead and muzzled throughout, with one adult handling it.
          • If these rules aren't followed, we'll end the booking and may refuse future bookings.
        • Kind handling only: please don't use any training method or equipment that causes pain or fear, such as electric, prong or choke collars.
        • If an incident happens, such as a dog injury, a bite or an escape, please tell us as soon as you can, and on the same day if possible.

        Your Responsibilities

        Children and visitors

        • Children are welcome but must be supervised by an adult at all times. Fenrir Fields is a dog exercise field, not a playground, and children remain your responsibility throughout your visit.
        • Don't leave children alone in the field. If you need to pop back to the car, take them with you or leave them with another adult.
        • Please don't climb on the fences, gates, seating or any equipment, and don't let children do so either.
        • Everyone in your group needs to follow these terms.

        Looking after the field

        • Please pick up after your dogs. Use the bins provided, or take it home with you.
        • Leave the field as you found it. Take all litter, toys and equipment away with you, including broken toys and balls, which can be a hazard for the next dogs. If you find something left by someone else, please let us know.
        • Please fill in any holes your dogs dig, where you reasonably can. Please don't move, alter or take away anything on site.
        • No fires, barbecues, fireworks, camping or parties. No smoking or vaping in the field [or: except in (designated area)].
        • Please don't disturb livestock or neighbouring land.
        • Damage: if you, your group or your dogs damage the fence, gates, signs or anything else on site (beyond normal wear and tear), please tell us straight away. We may ask you to cover the reasonable cost of repair.
        • If you spot any damage or a gap in the fence, please tell us immediately, even if you didn't cause it, so we can fix it before the next booking.

        Trainers and clubs

        • Trainers and clubs can hire the field for evening sessions. Cars stay in the car park and everyone walks in through the double-gated dog entrance, one group at a time.
        • Trainers and behaviourists running classes or 1:1s must apply first ("Apply to train here") and be approved before they can book trainer sessions at trainer rates. When you apply, you confirm that your details are true, that you hold public liability insurance, and you accept the trainer declaration. We may ask for more information, and we may decline an application.
        • Every dog must be accompanied by its owner or handler during a trainer session; dog walking (dogs without their owners) is not permitted.
        • Please book enough time to cover your whole session, including setting up, clearing away and any chat or feedback at the end. Please leave the field by the end of your booked session.
        • You're responsible for running your session safely and for your clients and their dogs. Please make sure your clients know about and follow these terms.
        • You must hold suitable public liability insurance for your activity, keep it up to date, and show it to us if we ask. Please tell us if it lapses or changes.
        • Please don't sub-let or re-sell your slot to anyone else without our written agreement.
        • The dog limit in Maximum Dogs per Slot applies to trainer and club bookings too, unless we've agreed a different limit with you in writing. [Dean to confirm whether evening training sessions keep the 6-dog limit or have their own limit.]

        Weather & Ground Conditions

        • The field stays open in most weather. A bit of rain and mud is part of life on a farm field, so please come dressed for it.
        • Sometimes the field isn't safe to use, for example if it's waterlogged, frozen or icy, flooded, or otherwise unsafe (such as storm damage to the fence or fallen branches). We decide when the field needs to close for safety, and we'll always make that call with your dogs' safety in mind.
        • Key rule: Weather: reschedule or refund If we close the field for your booking, we'll contact you as early as we can by text and email, and you choose what happens next:
          • reschedule to another available slot at no extra cost, or
          • get a full refund of everything you've paid for that booking.
        • There's no penalty either way. You never lose money because of a closure we make.
        • If conditions become unsafe during your slot and we have to ask you to leave early, you can choose either a free move for the time you've lost or a refund for that time.
        • If the field is open and safe but you'd rather not come because of the weather, the normal cancellation terms apply (see Cancellations & Changes). [Suggestion: offer a free move if the Met Office has issued an amber or red warning for the area.]
        • If you arrive and the ground looks unsafe to you, keep your dogs on leads and call or text us on [contact phone] before letting them off.

        If we have to cancel

        • We may also need to close the field for repairs, maintenance or other safety reasons.
        • If we have to cancel or cut short your booking for any reason that isn't your fault, we'll let you know as soon as we can by email or text. You can then choose a full refund for the lost time or a free move to another slot.
        • We won't be responsible for any other costs, such as travel, unless the cancellation was caused by our negligence.
        • We may cancel or end a booking without a refund if these terms are seriously broken, such as sharing codes, dangerous behaviour, or abuse towards us, our neighbours or other customers. We may also refuse future bookings.

        Safety & Liability

We want everyone to have a safe, happy time. We keep the fence and gates in good order and check them regularly, and we'll always provide our service with reasonable care and skill. But a field is a natural outdoor space, and dogs can be unpredictable, so here's how responsibility is shared, in plain English:

        • You're responsible for your own safety, your group's safety, your dogs' behaviour and any injury or damage your dogs cause to people, other dogs or property.
        • Before letting dogs off lead, it's up to you to decide whether the field is right for your dogs that day (see the quick check under Arriving, parking and gates).
        • Gates and escapes: you're responsible for closing the gates behind you and for keeping your dogs under control. We're not responsible if a dog escapes because a gate was left open or the fence was climbed or dug under during your visit. We are responsible if an escape is caused by our failure to take reasonable care of the fence and gates.
        • We're not responsible for loss or damage that wasn't caused by us breaking these terms or being negligent, or that nobody could reasonably have foreseen. This includes items left in cars or on site.
        • We strongly recommend that you have pet insurance that includes third-party liability cover.
        • Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud, or for anything else the law doesn't allow us to exclude. Your legal rights as a consumer are not affected. For more information, contact Citizens Advice.

        Emergency Information

Please take a moment to note these details before your visit. We hope you'll never need them.

        • Emergency services (for people): call 999. Ask for the ambulance, fire or police service you need.
        • Site address for directions: Fenrir Fields, Willow Tree Farm, Kirton Road, Messingham, North Lincolnshire, DN17 3RE.
        • Emergency vet: , . Phone: .
        • Out-of-hours vet emergencies: the 24-hour emergency line is . Please phone first and they'll tell you where to go.
        • If your dog is registered with its own vet, you may prefer to call them first. Whichever vet you use, please phone ahead so they can be ready for you.
        • After you've called for help, please let us know on [contact phone] as soon as you can.

Looking after your dogs while you're here

        • You're responsible for your own dogs' welfare, behaviour and health while you're on site. Please supervise them at all times.
        • Water: please bring enough fresh drinking water for your dogs, especially on warm days.
        • Heat: dogs can overheat quickly. On hot days, please avoid the warmest part of the day, keep exercise gentle, watch for signs of heatstroke (such as heavy panting, drooling, weakness or collapse) and get veterinary help straight away if you're worried. Never leave a dog in a parked car.
        • Health: only bring dogs that are fit and well enough for exercise, and stop if your dog seems unwell, injured or tired.
        • Nothing in this section takes away from our own legal responsibilities. If something goes wrong because we've been negligent or haven't done what these terms say we'll do, we're responsible for that, and nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence (see Safety & Liability).

        Privacy, Law & Contact

        CCTV [delete if not used]

For security, we use CCTV at the entrance, car park and field. Footage is only used to keep the site safe, to deal with incidents and to look into serious breaches of these terms. It's handled in line with our privacy notice.

Photos and social media [optional – Dean to decide]

We love seeing happy dogs. If you share photos or videos with us or tag us on social media, we may reshare them on our own pages. If you'd rather we didn't, just tell us and we won't. We'll remove anything we've already shared if you ask.

        Your information

We use your details only to manage your booking and any account, take payment, send your gate code and instructions, and contact you about your visit. We don't sell your data. We only share it with the services that help us run bookings, payments and messages. We delete accounts that haven't been used for [number] months. For full details, see our privacy notice at [privacy notice link].

        Changes to these terms

We may update these terms from time to time. The version on our website when you book is the one that applies to your booking.

Demo notes Sample / not live

Preview mode: while Bookings open is off in Owner → Settings (the default for the upload build), nothing can be booked or paid and no gate code or message is created. Bookings are currently OPEN in this browser.

This is a self-contained clickable prototype for Fenrir Fields. Nothing here charges a card, sends an email or text, or opens a real gate. Accounts, bookings and trainer applications are stored only in this browser.

        Member whitelist (sample)

If the checkout email (case-insensitive) matches a member address, the UI applies member session pricing (the Friends & Family discount, currently 15% off the selected dog tier: £10.20/hour up to 3 dogs, £11.90/hour for 4–6) in place of the public prices. Each tier's discount (Sköll, Fenrir, Friends & Family) is set in Owner → Pricing & discounts (default 15%, saved in this browser).

        • None in this build. Owners add Friends & Family emails in Owner → Settings.

Any other email pays the public price for the chosen dog tier: up to 3 dogs £12/hour or 4–6 dogs £14/hour, charged per half-hour slot. Maximum 6 dogs per booking.

        How to test the flows

        • Home → Book a session
        • Choose Up to 3 dogs or 4–6 dogs (or set the number of dogs, max 6) → the price and total update
        • Pick a day → tap up to four back-to-back half-hour slots (2 hours max)
        • As a guest: enter your name, email and mobile (optional: email and text are free) → tap Apple Pay, Google Pay, PayPal or Pay by card (demo) → see your booked time, gate code(s) and when the code works
        • Create an account (Nav → Log in) → pick a slot → pay: two clicks. Try "Book again" and My bookings (resend code, manage, cancel)
        • Open a booking's Manage link → add to calendar, move or cancel (full refund more than 24 hours before, none within 24 hours)

        Owner area (demo)

Footer → Owner → set up an owner account on this device the first time, then sign in. Reports, members log and data requests all use SAMPLE data plus anything you book in this browser, and each has a Download CSV button. Pricing & discounts sets each tier's discount; Admins & password changes your password; Trainer applications approves or rejects trainers; Settings is the one place for every value: Bookings open (off = preview mode), prices and discounts, trainer rates, membership fees, booking windows, limits, refunds, gate codes, payment methods and fees, SMS on/off, Friends & Family emails and the emergency vet. The login only stops casual visitors on this demo; it is not real security.

        Trainers page (demo)

Nav → Trainers (or #trainers) opens a separate booking flow for qualified trainers and behaviourists: a 5-step wizard (1 Session, 2 Date & time, 3 Group, 4 Your details, 5 Review) instead of the public slot grid. Trainer rates are flat per session band, not per dog: £20.00/hour for 1:1 or up to 3 dogs, £25.00/hour for 4–6 dogs, half day (4 hours) £70.00. Placeholders Set them in Owner → Pricing & discounts. Maximum 6 dogs and 6 owners/handlers per session; every dog must be accompanied by its owner or handler. Trainer bookings appear in the Owner reports as customer type Trainer. Trainers must apply first (Apply to train here) and be approved in the Owner area before they can book; approved trainers with a saved usual session get a two-click booking.

        Slot length

Bookings are half-hour (30-minute) windows from 08:00 through 18:30 starts (last session ends 19:00). The public hourly price for each dog tier is shown on the dog selector; checkout shows the session total for the slots you pick.

        Access concept

The booking code opens the dog gate only: it doesn't control the car park (a car park vehicle gate or barrier is only an option, and any vehicle-gate modes below are for that option). Each gate will have a permanent smart gate lock (recommended: Locinox maglock + igloohome Switch, pending decision). After paying, the demo shows sample 9-digit gate code(s): one code per booking by default (recommended wired set-up): the pedestrian keypad for pedestrian bookings, the vehicle keypad (opens both gates) for vehicle bookings. Separate and shared modes are in Settings. Codes are sent by email and text (free; text if a mobile was given) 7 days before and again 1 hour before. You can always leave: the green exit button by each gate opens it from inside. Emergency vet: , (24-hour: ). The confirmation shows "Your booked time" and "Gate code works" (whole hours, e.g. 10:30–11:00 → 10:00–11:00). The rule is: please leave the field by the end of your booked session. There is no traffic-light or booking-light system on the car park. Real codes would come from the gate lock maker's API on a server (an example integration is noted in the code comments).

How Fenrir Fields uses your personal information, in plain English.

Draft: not legal advice. Items in [brackets] are placeholders to confirm, and retention periods need checking with an accountant or solicitor before this goes live.

        Who we are

Fenrir Fields (Dean Stead and Alanna Blaney), Willow Tree Farm, Kirton Road, Messingham, North Lincolnshire, DN17 3RE. We decide how your personal information is used, which makes us the "controller".

        • Email: hello@fenrirfields.co.uk · Phone: [contact phone]
        • ICO registration number: [ICO registration number – to add once registered]

        What we collect and why

        • Booking details: your name, email address, your mobile number if you choose to give it, number of dogs (and their names if you add them), which gate you'll use, the date and time you book, and any notes you choose to add. We use these to take and manage your booking, send your confirmation and gate code by email (and by text if you gave a mobile number), and contact you about your visit. Your mobile number is used only for booking texts (confirmation, gate code and reminder) and to reach you about your booking on the day.
        • Accounts (if you create one): your name, email, optional mobile number, saved dogs and booking preferences, and your password, which we store only in a scrambled form (a salted hash).
        • Trainer applications: your business name, contact details, session types, qualifications, insurance certificate or policy details (insurer, policy number, expiry date), usual group size, anything you tell us, and a record that you accepted the trainer declaration (its version and the date and time).
        • Payment records: amounts, dates, how you paid (Apple Pay, Google Pay, PayPal or card), refunds and payment references. Card details are handled by our payment provider, and PayPal payments by PayPal. We never see your full card number or your PayPal password.
        • Gate access logs: the time-limited code(s) issued for your booking, when they were sent or resent, and when the gate was opened. We use these to keep the field secure and to look into incidents.
        • Member records (members only): your membership tier, join date, sessions used and payment status.
        • Marketing preference: only if you tick the box when booking.
        • Launch updates (coming soon page): your email address, when you signed up, and a record that you ticked the consent box (the wording you agreed to). We use it only to email you when bookings open and with occasional launch news.
        • Messages and requests: anything you send us, including requests about your data.

We only ask for what we need to run your booking. We don't collect details about your dogs' health unless there's an incident, and we don't want health information about people in the notes box.

        Who we share it with

We don't sell your information. We use a few service providers ("processors") who handle it for us under contract:

        • Website hosting: IONOS, which also stores the launch updates list [placeholder – confirm processing terms]
        • Map on the coming soon page: the sneak-peek map only loads when you tap “Show the map”. It then runs the Leaflet map code (built into this page) and loads satellite imagery from Esri (server.arcgisonline.com), which will see your IP address. Nothing is loaded from Esri or Leaflet before you tap.
        • Payments: [card payment provider, e.g. Stripe – to confirm] for card, Apple Pay and Google Pay; PayPal if you choose to pay with PayPal. PayPal also acts as a separate controller for your PayPal account.
        • Email and text messages: email through our web host IONOS; texts through [SMS provider, e.g. ClickSend – to confirm]. Texts are free to you.
        • Gate locks and access codes: gate lock (recommended: Locinox maglock + igloohome Switch, pending decision) [the lock maker's code service – to confirm once the gate locks are chosen]
        • Accounts: [our accountant, if used]

Some providers may process data outside the UK. [Confirm each provider's safeguards before going live.]

        How long we keep it

[Placeholders – to confirm with accountant/solicitor]

        • Booking and payment records: 6 years after the end of the tax year they relate to, for tax purposes.
        • Gate code logs: deleted after [30 days], unless we need them for an incident.
        • Member records: while you're a member, then [12 months], apart from payment records (see above).
        • Marketing list: until you withdraw consent or unsubscribe.
        • Launch updates list: until you unsubscribe, and deleted at the latest 12 months after you signed up. It's stored on our web host's server (IONOS) in a protected file that can't be downloaded from the website.
        • Messages and data requests: [2 years].
        • Accounts: until you delete your account, or after [number] months without use.
        • Trainer applications and insurance documents: while you're an approved trainer and [12 months] after; [6 months] after a decision if not approved.

        Your rights

        • Access: ask for a copy of the information we hold about you.
        • Correction: ask us to fix anything that's wrong.
        • Erasure: ask us to delete your information, unless we must keep it (for example, tax records).
        • Objection: object to how we use your information, including gate logs kept for our legitimate interests. You can always say no to marketing.
        • You can also ask us to restrict how we use your information, or to give it to you in a portable format.

We'll reply within one month. To make a request, use the form below or contact us. If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113. We'd appreciate the chance to put things right first.
